Your cancellation choices and terms
Your plans have room to change
Cancel at least 15 days before your agreed journey start for a full cash refund of your eligible tour payment, or choose 100% Travel Credit when cancelling at least 24 hours before that start. The alternatives and conditions below explain what is covered.
The booking app shows exact cancellation deadlines once your pickup/reporting time is agreed. Choose either cash or credit when both are available.
Exact deadlines require an agreed pickup/reporting/boarding time. General notice periods apply until that time is agreed. Previously used Travel Credit is explained separately below and is not cash-refundable. Sending an unpaid request requires no payment and creates no refund or credit entitlement.
Tours covered
These terms cover eligible Max Adventures Shared Day, Private Day and Private Overnight/Multi-Day tours booked under this policy version. Independently booked vehicle hire, Sundarban Houseboat and other separate services retain their own terms. Your accepted quote and confirmation identify the services included in your Max package.
A request or enquiry is not a final confirmed tour. Current availability, departure, forest-permission, payment-review and confirmation conditions continue to apply. This protection does not guarantee a departure or a replacement date.
Your payment and final bill
We acknowledge advance and balance payments when received. Our current workflow provides the final tour bill after completion, subject to applicable documentation and tax requirements. Cancellation refunds and Travel Credit receive a settlement acknowledgement or credit statement and do not wait for the final tour bill. Your accepted quotation states the total payable and any applicable charges.
“Eligible payment” means verified fresh money received for the cancelled Max service, less amounts already refunded, charged back or settled. Previously redeemed Travel Credit is not fresh money. A refund or new credit never includes an unpaid balance, the same payment twice or independently booked services outside this policy.
Example: if your tour costs ₹19,000 and you have paid ₹1,900, a qualifying full cancellation gives a ₹1,900 cash refund or ₹1,900 Travel Credit, not ₹19,000. The unpaid balance for the cancelled service is no longer due.
Cancellation choices
| When valid notice reaches us before your agreed start | Cash refund alternative | New Travel Credit alternative |
|---|---|---|
| At least 15 days / 360 hours | 100% of eligible payment | 100% of eligible payment |
| At least 7 days / 168 hours, but under 15 days | Eligible payment less ₹250 per cancelled paid guest | 100% of eligible payment |
| At least 24 hours, but under 7 days | Eligible payment less ₹500 per cancelled paid guest | 100% of eligible payment |
| Under 24 hours, with valid notice before start | No cash refund | 50% of eligible payment |
| No-show without valid notice before start | No cash refund | No new credit |
Cash and credit are alternatives for the same eligible payment; you cannot receive both. A deduction cannot exceed that payment or create an additional cancellation debt. No separate administration or supplier-cost deduction is added to this table.
Paid guests include paid adults and paid children actually being cancelled. Free/unpaid guest positions are excluded. A private tour's illustrative 15-adult price is never substituted for your accepted guest count, and the charter price is not divided by that count to calculate a partial refund.
The notice periods are elapsed hours, including weekends and holidays. At exactly 360, 168 or 24 hours, the more favourable band applies. Refund processing also uses calendar days.
Sending cancellation notice
The lead booker should contact Max Adventures on official WhatsApp +91 82820 83190 or email bookmaxadventures@gmail.com, identify the booking, specify the guests/services to cancel and state the cancellation clearly. We verify the requester through the existing booking/contact process; a booking ID alone is insufficient. Send bank details only through a verified private process if requested.
The controlling time is when valid notice reaches the official channel, not when staff reply or finish processing it. Verification may follow receipt without moving the original notice time. An authorised logged phone cancellation preserves the original call time and receives a written acknowledgement. Weekend/holiday staffing does not change a timely notice's cancellation band.
Your agreed start is the pickup, reporting or boarding time agreed for you, shown in IST. We do not assume midnight from a tour date. Missing/disputed start times, channel outages and exceptional circumstances receive management review rather than an automatic less favourable outcome.
Travel Credit validity and use
New Travel Credit is valid for six calendar months from the effective cancellation notice time, not from a later staff-processing date. Your statement shows the exact expiry in IST. Where the corresponding day does not exist in the sixth month, expiry is on that month's last day at the same local time. The replacement journey must start on or before expiry.
Credit may pay the required advance or another payment for an eligible Max tour. Existing advance percentages, balance deadlines, current prices and confirmation checks still apply. Any difference is payable as explained in your replacement quote. Credit does not preserve an old fare or guarantee availability.
Credit belongs to the original lead booker. Any exceptional transfer requires authorised staff approval and identity verification, without resetting expiry. It cannot be exchanged for cash, used across separate business brands or spent twice. Partial use keeps the original expiry for the unused balance; rebooking does not renew it.
Opening a quotation or sending an unreviewed unpaid request does not lock your credit. A reviewed replacement booking may reserve the agreed amount until its communicated payment deadline. Reservation is not payment or confirmation. Unused reservations are released when the booking expires or is cancelled; they never extend credit validity. Timely payment evidence awaiting verification receives staff review before automatic release.
Cancelling a booking paid partly with old credit
| Your cancellation notice | Treatment of eligible credit redeemed on that booking |
|---|---|
| At least 24 hours before start | Restore 100% to the original balance and expiry |
| Under 24 hours, but before start | Restore 50% to the original balance and expiry; the other 50% remains consumed |
| No-show without valid prior notice | Credit used for that booking remains consumed |
Restoration does not create a new six-month credit or a cash refund. Unrelated unused balances are unaffected. Fresh money paid on the same booking is settled separately under the cancellation table.
One-time grace: if eligible previously redeemed credit is first restored after its original expiry, the restored amount receives one 30-calendar-day grace from that first verified restoration. The deadline is fixed against the original credit balance and cannot restart through another booking, cancellation, partial restoration or transfer. Later eligible restorations from the same original balance share that fixed deadline. Unrelated expired unused credit is not revived. Any further exception requires management review and cannot be represented as an automatic renewal. The first verified restoration fixes the deadline on the original balance; staff processing delays do not create another grace period.
Partial cancellations and group reductions
We prepare an amended quote for the remaining guests and show the effect on payments, credit and balance due before you agree. Shared cancellations release only the cancelled seats. Private amendments retain the charter base and account for discounts, transfer capacity and other applicable price components. Removing guests does not release a fraction of the boat or automatically create an equal fraction of the original price as a refund.
Only the value genuinely released by the approved amendment is considered for settlement, while maintaining the remaining booking's required payment coverage. The allocation uses the original cash/credit funding proportions; the cancellation table applies only to the eligible fresh-cash portion released and the paid guests cancelled. Any eligible old credit follows its original-credit conditions.
A lower quote may reduce the balance still to pay rather than create an immediate refund. If a change increases the price, we explain the difference and obtain your agreement before proceeding. We provide the calculation for review; authorised staff approve the amendment after your agreement.
Date changes
One date change requested at least 15 days / 360 hours before the agreed start has no separate date-change fee, subject to availability, operational feasibility and the replacement price. For a later or additional change, we explain the original booking's applicable cancellation/credit terms and the replacement quote before you agree. There is no undisclosed extra change fee. Any cheaper replacement follows the approved partial-settlement rules above.
A move does not create a refund or new credit for funds still paying for the same trip, renew existing credit or turn old credit into refundable fresh money. We retain your agreed quote and date-change history. Later/repeat changes and any subsequent cancellation are reviewed under the accepted terms, with the treatment of existing funds and new payments explained before agreement. No additional automatic refund restriction is introduced for a subsequent cancellation.
If Max cancels your whole confirmed tour
If Max cannot operate your entire confirmed Max tour, you may receive a full refund of eligible fresh money received for the cancelled Max service, without guest cancellation deductions. You may instead agree to an available replacement or credit; we do not require you to accept credit instead of an applicable cash refund.
Eligible redeemed Travel Credit is restored without a guest cancellation deduction. If its original expiry has passed, the same single 30-calendar-day grace above applies to eligible restored value. If Max cancels again after that grace is exhausted, management reviews an appropriate remedy rather than renewing grace automatically or assuming no further entitlement. These credit rules do not replace any stronger remedy required by law.
The contractual cash settlement for the cancelled Max service is limited to eligible cash actually received by Max. This does not exclude or limit any remedy or right that applicable law does not permit us to exclude. Additional compensation and repeated operator-cancellation cases receive owner review.
Changes to a route or programme are assessed against the service actually agreed; they do not automatically establish that the entire tour was cancelled. Nothing in this section limits remedies required by applicable law. Separate bookings and incidental costs are not automatically included in the Max payment refund; any further entitlement is assessed under applicable law and the accepted service.
Refund initiation and payment records
Refunds are normally initiated within 5-7 calendar days, with a maximum of 7 calendar days. This period starts once we have your valid cancellation notice, cash-refund choice where required and necessary verified payment details. We reuse details already available and ask promptly for anything genuinely missing. Internal approval cannot start or reset this clock; eligibility still uses the original valid notice time. We initiate ready refunds sooner where possible.
If Max cancels, our cancellation notification replaces the guest-notice requirement; you do not need to submit a second cancellation request. We do not wait for an unnecessary choice where a cash refund is already required.
Calendar days include Saturdays, Sundays and public holidays. The initiation deadline is seven calendar days after the instant all required information is available, at the same time in IST. We provide that exact deadline; no holiday calendar or next-working-day adjustment applies. Previously recorded refund promises remain intact rather than being recalculated automatically.
Refunds normally return through the original verified payment method; any exception requires verification and approval. “Initiated” means the transfer has actually been submitted, not merely approved internally. We provide the amount, date and payment reference. Your bank/payment provider may take additional time to credit the funds; an uncertain or failed transfer remains under follow-up rather than being described as completed.
We explain missing information or a dispute promptly and keep you updated. This target does not override an earlier binding legal/payment-provider deadline or permit unreasonable delay. Credit issuance/restoration is acknowledged separately with amount and expiry; it does not wait for the cash-refund processing period.
Existing bookings and policy acceptance
All existing confirmed Max bookings receive these new benefits from the effective activation recorded for this policy, while retaining any more favourable rights previously offered or accepted. We preserve the original terms and record the additional benefit; we do not rewrite historical acceptance. Other existing guests may voluntarily adopt the new policy by recorded agreement. The same money is settled once, without stacking overlapping cash or credit benefits. Your original accepted policy and any subsequent agreement or benefit grant remain available with the booking/payment/confirmation record.
Questions and grievance handling
Contact the official Max WhatsApp/email above for cancellation status, refund references or credit statements. Authorised staff can approve and process financial actions. Staff record notices, entitlement reviews, agreed choices and verified payment evidence, and reconcile pending and completed settlements daily. Internal follow-up targets are acknowledgement within 24 hours and straightforward review within two working days; receipt time and refund readiness remain controlling. Applicable grievance deadlines continue to apply separately.
Nothing in these terms excludes or limits a right or remedy that applicable law does not permit us to exclude.
